I keep a spreadsheet of all my collectable bears with the following headings: Brand, Name,Number,Size,Price and date I bought bear. I know exactly how much I have spend on my hobby.

That is neat! I can't remember the dates I bought my bears. :( I only know the year (and sometimes month) they came to me. I will try to make a catalogue like yours and add the bears I find from now on.
